CapyKids for daycare admins
Stand up your center on CapyKids — onboarding, classrooms, billing, payouts, and staff.
Setting up your daycare
When you sign up, CapyKids walks you through onboarding step by step. You can leave and resume onboarding at any time — your progress is saved. The steps are:
- Daycare info — your center’s name, address, and basic details.
- Classrooms — create the rooms or groups children are enrolled in.
- Staff — invite teachers and admins (you can do this later too).
- Billing — set your tuition plans and rates.
- Connect payouts — link your bank so tuition can be deposited to your account.
Adding families & children
Enroll families by adding a parent and their child(ren) and sending an invite. Parents accept the invite, set a password, and immediately see their child’s classroom, daily reports, and billing. Public sign-up is intentionally closed — every account is created by your center, which keeps enrollment data locked to your organization.
Classrooms
Classrooms group children for attendance, daily reports, and staff assignments. Create a room per age group or cohort, then assign teachers and enroll children into it. You can adjust rooms as your center grows.
Billing & tuition
Configure tuition plans and the amounts each family owes. Tuition is collected automatically from the payment method families add in their app — no invoices to chase and no external checkout pages for parents.
- Set recurring tuition per family or plan.
- Offer optional add-ons (late pickup, field trips, supplies) that parents approve and pay in-app.
- Track payments and see who’s paid at a glance.
Connecting payouts
CapyKids uses Stripe to move tuition safely from families to your bank account. During onboarding you’ll connect your account and provide the details needed to receive payouts. Standard payment processing fees apply, plus a small platform fee that’s deducted automatically.

Inviting staff & roles
Invite teachers and administrators by email. Roles control what each person can access — teachers see their classrooms and families; admins manage the whole center. You can resend or revoke invites at any time.
Holiday calendar
Set the days your center is closed so attendance expectations and scheduling stay accurate for staff and families.
